Clarivive Medinsight Ltd is committed to making its website, learning materials, learner communications, assessments and training services as accessible as reasonably possible. The purpose of this policy is to explain how we support learners and website users who may experience barriers when accessing our training, learning platform, course materials, practical sessions, assessments or certificates.
This policy is intended to give clear information to learners, employers, trainers, assessors and internal staff about accessibility support and reasonable adjustments. It also explains the limits of adjustments, because accessibility support must not remove essential learning outcomes, reduce assessment standards, create unfair advantage, or compromise health and safety.
Clarivive Medinsight Ltd recognises that learners may have different access needs. These may relate to disability, learning difficulty, neurodiversity, health condition, injury, pregnancy-related needs, language need, anxiety, digital confidence, temporary impairment or another personal circumstance that affects participation in training or assessment.
This policy applies to all Clarivive Medinsight Ltd training and learner services, including online learning, webinars, face-to-face training, in-house employer training, blended learning, learner communications, assessments, practical activities, course materials, certificates and website access.
It applies to learners who book directly with Clarivive Medinsight Ltd, learners booked by an employer or organisation, trainers, assessors, internal staff, contractors and anyone involved in supporting or delivering training on behalf of the company.
Where training is delivered at an employer’s premises, Clarivive Medinsight Ltd will consider reasonable adjustments connected with the training session itself. However, the employer or host organisation remains responsible for the accessibility, safety and suitability of its own premises, workplace arrangements, equipment, local facilities and employment-related adjustments.
Clarivive Medinsight Ltd aims to act in line with the Equality Act 2010, including the duty to consider reasonable adjustments where a disabled person may be placed at a substantial disadvantage when accessing services.
For digital accessibility, Clarivive Medinsight Ltd aims, where reasonably practicable, to follow recognised accessibility principles, including clear structure, readable content, meaningful headings, appropriate colour contrast, keyboard-friendly navigation, alternative formats where possible, and compatibility with commonly used assistive technology. WCAG 2.2 AA principles are used as a good-practice benchmark where relevant, but the company does not claim full technical compliance unless a formal accessibility audit has confirmed this.
The company also recognises that some health and social care courses involve practical skills, safety-critical activities and assessment requirements. Reasonable adjustments are intended to improve access to learning without reducing the required standard of competence, safety or assessment integrity.
Clarivive Medinsight Ltd aims to remove or reduce unnecessary barriers that may prevent learners from accessing training fairly. This includes providing clear course information, using plain professional language, structuring learning materials logically, offering reasonable support with learning platform navigation, and considering individual adjustment requests before or during training where reasonably possible.
The company will not treat accessibility as a one-off statement only. Accessibility must be considered during course design, website updates, learner communication, assessment planning, trainer preparation, venue selection where under our control, and review of learner feedback.
Where an accessibility barrier is identified, Clarivive Medinsight Ltd will consider whether it can be removed, reduced, avoided or managed through a reasonable adjustment. The response will depend on the learner’s need, the course requirements, the delivery method, available resources, safety considerations and the level of impact on assessment integrity.
Clarivive Medinsight Ltd aims to make online learning content clear, structured and easy to follow. Course materials should use headings, short sections, readable text, consistent navigation and clear instructions. Where images, videos, questions or interactive activities are used, they should support learning rather than create unnecessary confusion.
Learners who experience difficulty accessing the LMS should contact Clarivive Medinsight Ltd as soon as possible. Support may include guidance on logging in, navigating modules, accessing course sections, locating assessments, downloading certificates, understanding completion requirements or reporting technical issues.
Where reasonably possible, Clarivive Medinsight Ltd may provide alternative support, such as written instructions, email guidance, screenshots, simplified navigation guidance, extended access time, or alternative format materials. However, some LMS functions may depend on the technical limits of the platform, the learner’s device, internet connection, browser settings or assistive technology compatibility.
Clarivive Medinsight Ltd cannot guarantee that all third-party platforms, external websites, embedded tools or user devices will be fully accessible. Where a third-party platform creates a barrier, the company will review the issue and consider reasonable alternatives where practicable.
For face-to-face training arranged directly by Clarivive Medinsight Ltd, the company will aim to use training environments that are suitable for the planned learning activity and reasonably accessible to learners. This may include considering room layout, seating, lighting, noise level, access to facilities, visibility of teaching materials and safe movement during practical activities.
For in-house training delivered at an employer’s premises, the employer remains responsible for the accessibility and safety of the venue, including building access, toilets, parking, lifts, emergency exits, room suitability, local risk assessments and workplace facilities. Clarivive Medinsight Ltd trainers may make session-level adjustments where possible, but they cannot take responsibility for the employer’s legal duties as the premises controller or employer.
Learners or employers should inform Clarivive Medinsight Ltd of access needs before face-to-face training wherever possible. Early notice allows the company to review practical options and avoid last-minute barriers. If a learner raises an issue on the day, the trainer will consider what can reasonably and safely be done at that time.
A reasonable adjustment is a change or support arrangement intended to remove or reduce a disadvantage experienced by a learner. Adjustments are considered individually and must be reasonable, safe, proportionate and compatible with the course requirements. Each request will be assessed on its own circumstances rather than by applying a standard solution to every learner.
Examples of possible reasonable adjustments may include larger text, additional time for assessments, rest breaks, accessible course materials where possible, support with LMS navigation, seating adjustments, permission to use assistive technology, adapted communication methods, simplified instructions, additional explanation of assessment requirements, or practical adjustments where safe and appropriate.
For online learning, adjustments may include extended course access, alternative written guidance, support with platform navigation, clearer instructions, or reasonable flexibility with completion deadlines. For webinars, adjustments may include accessible joining instructions, use of captions where available, slower explanation of key steps, or follow-up written information where appropriate.
For face-to-face training, adjustments may include seating near the trainer, additional breaks, use of printed material, allowing assistive devices, adapting group activity participation, considering room layout, or modifying non-essential practical participation where this does not compromise safety or required learning outcomes.
Clarivive Medinsight Ltd will consider reasonable adjustments for assessments where a learner’s access need affects their ability to complete the assessment fairly. Adjustments may include additional time, rest breaks, support with reading instructions, larger text, accessible format materials, or alternative arrangements where appropriate.
Assessment adjustments must not change what is being assessed. They must not provide the learner with the answer, remove essential knowledge requirements, reduce the required pass standard, or create unfair advantage over other learners.
Where a course is externally accredited, regulated, certificated by an awarding organisation, or subject to specific assessment rules, Clarivive Medinsight Ltd will follow the relevant awarding body or course provider requirements. Some adjustments may require prior approval, evidence, or specific documentation. In those cases, the company will explain the process to the learner or employer.
Some Clarivive Medinsight Ltd courses may include practical, safety-related or workplace-relevant skills. In these cases, reasonable adjustments may support access but must not compromise learner safety, trainer safety, patient or service-user safety, public safety, or the validity of the training outcome.
For example, in moving and handling, first aid, medication administration awareness, safeguarding, infection prevention, or other health and social care training, learners may need to understand and demonstrate safe principles within the limits of the course. Adjustments can be considered, but the company cannot certify participation or completion in a way that falsely suggests a learner has met a required outcome when they have not.
If a trainer believes that an adjustment would create an unsafe situation, the trainer may adapt, pause or stop the activity. The matter should then be reviewed by the company, the learner and, where relevant, the employer.
Learners or employers should submit requests using the Accessibility and Reasonable Adjustments Request Form provided below this policy. If the form cannot reasonably be used, requests may be submitted by email to info@clarivive.co.uk
The request should explain the barrier the learner is experiencing and what support may help. The learner does not need to provide excessive personal information. However, where the requested adjustment is significant, assessment-related, safety-related, or linked to external certification rules, Clarivive Medinsight Ltd may ask for relevant evidence or further information to understand the need and decide what is reasonable.
Clarivive Medinsight Ltd will review each request individually. The company may approve the requested adjustment, suggest an alternative adjustment, ask for more information, or explain why the requested adjustment cannot be provided.
When deciding whether an adjustment is reasonable, Clarivive Medinsight Ltd may consider the learner’s need, the disadvantage being experienced, the effectiveness of the proposed adjustment, the course delivery method, assessment requirements, health and safety implications, available resources, cost, timescale, technical limitations, impact on other learners, and whether an alternative adjustment could achieve a similar outcome.
A request is more likely to be managed effectively when the learner or employer provides early notice. Last-minute requests will still be considered, but the options available may be limited.
Reasonable adjustments cannot remove essential course outcomes, lower assessment standards, guarantee a pass, provide answers to assessment questions, remove safety-critical requirements, create misleading certification, or compromise the integrity of the course.
Adjustments also cannot require Clarivive Medinsight Ltd to make changes that are unreasonable, unsafe, technically impossible, outside the company’s control, disproportionate to the training being provided, or inconsistent with awarding body or regulatory requirements.
Where an adjustment cannot be provided, Clarivive Medinsight Ltd will aim to explain the reason clearly and, where possible, consider an alternative form of support.
Clarivive Medinsight Ltd aims to produce learning materials that are clear, structured and professionally presented. Course content should avoid unnecessary complexity, use readable formatting, and provide information in a logical order. Images, diagrams and scenarios should be relevant to the learning outcome and should not be used merely for decoration where they may confuse learners.
Where possible, the company will aim to provide materials in accessible formats. This may include larger text, clearer PDF formatting, simplified learner instructions, written summaries, or alternative supporting information. However, availability may depend on the format of the course, the original source material, licensing restrictions, LMS limitations and reasonable practicality.
Learners should not alter training materials, share them without permission, or use modified versions as official Clarivive Medinsight Ltd materials unless authorised.
Clarivive Medinsight Ltd aims to communicate with learners in a clear and professional manner. Important information such as booking details, course access, assessment requirements, cancellation terms, certificate conditions and support routes should be communicated clearly.
Where learners have communication needs, the company will consider reasonable support. This may include written follow-up, clearer instructions, additional explanation of administrative steps, or communication through an employer contact where appropriate and authorised.
Clarivive Medinsight Ltd cannot provide specialist clinical, legal, translation, interpretation or diagnostic services unless this has been specifically arranged and confirmed. Where a learner requires professional interpretation, specialist learning support or workplace-specific occupational health assessment, this may need to be arranged by the learner, employer or relevant organisation.
Where learners are booked by an employer, the employer should inform Clarivive Medinsight Ltd of any known training-related access requirements, provided this is done lawfully and with appropriate respect for confidentiality.
The employer remains responsible for employment-related reasonable adjustments, workplace risk assessments, staff deployment decisions, occupational health referrals, workplace supervision, local policies, role suitability and the accessibility of its own premises.
Clarivive Medinsight Ltd training does not replace the employer’s responsibility to assess whether a staff member is competent, supported and safe to carry out duties in their own workplace.
Information about a learner’s disability, health condition, learning need or personal circumstances will be handled confidentially and only shared where necessary to arrange support, deliver training safely, comply with assessment requirements, or meet legal obligations. Access to this information will be limited to those who require it to arrange support, deliver training or meet legal obligations.
Clarivive Medinsight Ltd will avoid requesting unnecessary personal information. Any information provided will be handled in line with the company’s data protection and privacy arrangements.
Where an employer submits information about a learner, the employer should ensure it has a lawful basis to share that information and that the learner is aware of what has been shared.
Learners, website users, employers and trainers should report accessibility barriers as soon as possible. This includes difficulty accessing the website, LMS, course materials, assessments, certificates, webinar links, face-to-face training rooms or learner communications.
Accessibility barriers should normally be reported using the Accessibility and Reasonable Adjustments Request Form provided below this policy. If the form cannot reasonably be used, concerns may be reported by email to info@clarivive.co.uk
The report should include a clear description of the issue, the course or webpage affected, the device or browser used if relevant, and what the learner was trying to do when the barrier occurred.
Clarivive Medinsight Ltd will review reported barriers and decide what action is reasonably possible. Some issues may be corrected quickly, while others may require technical review, LMS provider input, redesign, alternative materials or future improvement planning.
If a learner is unhappy with how an accessibility request has been handled, they may raise the matter with Clarivive Medinsight Ltd through the company’s complaints process. The complaint should explain the concern, the adjustment requested, the response received and the outcome being sought.
The company will review the concern fairly and consider whether the original decision was reasonable, whether further information is needed, and whether an alternative adjustment can be offered.
Where the matter relates to an employer’s premises, workplace arrangements or employment duties, the learner may also need to raise the concern directly with their employer.
Clarivive Medinsight Ltd will review accessibility feedback, learner support requests, complaints, technical issues and trainer observations to identify areas for improvement. This may include improving course design, updating website content, simplifying learner instructions, reviewing LMS usability, improving assessment guidance, or providing further trainer guidance.
